Terms and Conditions for 2026 International Reflexology Conference (Hybrid) – **Effective Date:** March 1, 2025

By registering for the Reflexology Association of Canada’s (RAC) 2026 International Reflexology Conference (“Conference”), including participation in any pre-conference and post-conference workshops, you (“Participant”) agree to abide by the following Terms and Conditions. These terms apply to all participants, speakers, sponsors, and vendors (“Attendees”) for both the online and in-person components of the Conference held in Winnipeg, Manitoba, Canada.

1. Registration and Payment

  1. Registration Process:
    To attend the Conference, participants must complete the registration form available on the official Conference website. Registration is subject to availability, and participants must submit the required payment in full or according to the selected payment plan.

  2. Fees and Payment Options:*
    ➡️ The Conference in-person registration fee covers access to the Conference sessions, networking events, and virtual or in-person components. There is separate pricing for RAC Student Members, RAC Members, and individuals who are not current members of RAC.
    ➡️ Fees for pre-conference and post-conference workshops are additional and must be paid separately. These workshops are optional and subject to availability.
    ➡️ The ticket fees displayed on the reflexologyconference.com website will prevail over any other fees advertised by any other means or websites, including emails.



    1.2.1 Payment Plans:
    ➡️ Participants may choose a payment plan option.
    1. Monthly Payment Plan: Pay monthly installments until the full balance is paid off by February 28, 2026.

    The payment plan option will be available at checkout, and participants will receive reminders for upcoming payments. Payments must be completed by the specified due dates to maintain registration.


    1.3 Payment Methods:
    All payments will be processed in Canadian Dollars via Visa, Mastercard, Discover, Visa Debit.
    1.4 Non-Refundable Policy:
    ➡️ All payments made for the Conference, including registration fees and fees for pre- and post-conference workshops, are **non-refundable** under any circumstances unless the event is canceled by the organizers.
    ➡️ If the event is canceled by the organizers for any reason (including but not limited to health, safety concerns, or unforeseen events), full refunds will be issued within 30 business days of the cancellation notice.
    ➡️ Late Payments: If any scheduled payments are missed, access to the event or services may be suspended until payment is made, and registration may be canceled if payments are not received by February 28, 2026.

2. Conference Sessions and Workshops

2.1 Pre-Conference and Post-Conference Workshops:
Pre-conference and post-conference workshops are optional and subject to separate registration. These workshops are not included in the general conference registration fee.

2.2 Workshop Content and Speakers:
RAC reserves the right to modify or change the schedule, content, or speakers for the workshops, including virtual sessions. Attendees will be notified of any significant changes via email or the event platform.

2.3 Workshop Fees:
Workshops may have additional fees based on content and length. These fees must be paid at the time of registration or as per the payment plan.

3. Conduct and Behavior

3.1 Code of Conduct:
Participants are expected to maintain respectful, professional behavior during all aspects of the Conference, whether attending in-person or online. Discriminatory, abusive, or inappropriate behavior will not be tolerated.

Violators may be removed from the event without refund.

3.2 Virtual Conduct:
Virtual attendees must ensure their environment is professional, including background, behavior, and attire during all online sessions. Harassment or disruptive behavior during virtual sessions will result in removal from the platform.

4. Intellectual Property

4.1 Ownership of Content:
All materials, including presentations, videos, documents, and other content presented at the Conference, are the intellectual property of the respective creators and may not be copied, recorded, or reproduced without permission.

4.2 Recording of Sessions:
• Participants acknowledge that sessions may be recorded for promotional, educational, or archival purposes. By attending the event, both in-person and virtually, participants consent to being photographed, recorded, or filmed. If you do not wish to be recorded, please inform the organizers in advance.
• Barring technical or any other difficulties, conference registrants will receive access to the conference seminars recordings following the conference. For all other conference meetings or activities, Please refer to the event information page to verify whether an activity will be recorded and/or sent to participants.

5. Privacy and Data Protection

5.1 Collection and Use of Personal Information:
By registering for the Conference, participants consent to the collection of personal information for administrative purposes, including sending event updates, reminders, and other relevant information.

5.2 Data Sharing:
Personal information may be shared with third-party service providers and sponsors for the purpose of event logistics, virtual access, or marketing. Participants may opt-out of certain data-sharing practices by contacting the event organizers directly.

6. Liability and Disclaimer

6.1 Limitation of Liability:
The Conference organizers are not liable for any injury, loss, damage, or expense arising from participation in the Conference or related activities, including pre- and post-conference workshops. This applies to both in-person and online participation.

6.2 Force Majeure:
The Conference organizers are not liable for any failure to perform their obligations due to events beyond their control, including but not limited to natural disasters, strikes, pandemics, government restrictions, or other unforeseen events.

6.3 Health and Safety (for In-Person Participants):
In-person participants must adhere to all local health and safety guidelines as posted in the event facilities.

7. Recording and Photography

7.1 Event Recordings:
By attending the Conference, participants consent to the recording of the event for promotional, educational, or archival purposes. These recordings may be distributed or made available to the public.
7.2 Opting Out of Photography/Recording:
If you do not wish to be photographed or recorded, please inform the organizers in advance and ensure you are in areas where recording is not occurring.

8. Conference Access

8.1 Virtual Access:
For virtual attendees, access to the online event platform will be provided. Participants are responsible for their own internet connection, equipment, and technical setup. The organizers are not responsible for technical issues on the participant’s end.
8.2 In-Person Access:
For in-person attendees, the Conference location and access details will be provided upon registration. Access is limited to the registered individual and cannot be shared.
8.3 Session Access:
Access to sessions, whether in-person or online, is limited to registered participants. Unauthorized individuals will be denied access to sessions.

9. Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of the Province of Manitoba, Canada. Any disputes arising from these Terms and Conditions or the Conference will be subject to the exclusive jurisdiction of the courts in the Province of Manitoba.

10. Amendments to Terms and Conditions

The Conference organizers reserve the right to modify or amend these Terms and Conditions at any time. Any changes will be posted on the Conference website, and participants are encouraged to review these terms regularly. Continued participation in the Conference will be considered acceptance of any updated terms.
